The problem
Worker:
It's 9pm on a Sunday. Six unsigned timesheets. My A mandatory NDIS clearance that confirms a worker is safe to deliver supports. Renewed every five years. The first major expiry wave hits in February 2026. expires next month. The A registered NDIS provider that pays your invoices on the participant's behalf out of their plan budget. Plan-managed participants don't handle the money themselves. bounced my last invoice. The clock resets while I rebill. Every tool I've tried charges me for five staff I don't have.
That wasn't built for me.
Participant:
I'm asked to sign something a week after the shift. I see line items I didn't know I could be charged for. I find out my The funding plan the NDIS gives a participant. A set budget for supports over 12 months, broken into categories. is gone when the visits stop.
That didn't work for me.

ThimbleCare was built to fix exactly that.

How it moves

From an invite to a paid invoice, in eight steps.

worker actionparticipant action
01

Worker invites the participant.

One email or SMS with a magic link. No passwords, no app store, no setup call. The participant lands inside their own ledger.

worker → participant
02

Participant signs the Service Agreement.

Fourteen elements, plain language, typed-name signature. Filed for seven years. Both of you keep a copy.

03

Worker delivers the shift.

Clock in, clock out, write the note. Tagged to a goal from the participant's plan, saved to a single timeline.

worker
04

Participant sees the note the moment it lands.

Same notification, same timestamp, same words. No reconciliation later. No surprises.

participant
05

Worker closes the week.

The week's shifts collapse into a draft timesheet. Lines priced against the official NDIS pricing list by date, day type, and remoteness zone.

worker
06

Participant approves, line by line.

Tick the lines that are right. Open a dispute on the ones that aren't. Disputed lines stay put until both of you agree.

07

Invoice generated, in the format plan managers accept.

Bill-To pre-filled from the participant's plan manager record. PDF and structured data ready to send.

08

Plan manager pays. Both of you see the receipt.

Payment hits the worker's account, status flips to paid in the ledger, the participant's plan budget ticks down. One source of truth.

audit log

Every one of those eight steps writes an immutable line to a shared audit log. Who, what, when, on what device. Audit-ready by default. The full timeline, in one clean export.

Why it matters

Five problems this week. Five fewer next week.

Three things built for both of you. Three for the worker alone. Labelled honestly either way.

01

Shift notes that don't get re-litigated.

Every note is written by the worker and visible to the participant the moment it's saved. Tied to a goal from the participant's The funding plan the NDIS gives a participant. Their budgets and the goals they're working towards., locked the moment it's saved.

Immutable once saved. Addenda only, never silent edits
Goal-linked, with a rolling progress rollup the participant can see
both of you
02

Timesheets without the chase.

Every timesheet is signed off by both of you before it becomes an invoice. The participant (or their A person formally appointed to make decisions for a participant. A parent, guardian, or someone with Power of Attorney. They sign on the participant's behalf.) sees each shift, each hour, each support type, and ticks. Nothing moves without an explicit tick.

Typed-name signature under the The Australian law that recognises typed and electronic signatures as legally equivalent to handwritten ones, when paired with name, timestamp, and IP.
Disagreements raise an in-record dispute, never an auto-report

03

Plan managers pay you faster.

Every line is priced against the official NDIS rate before it leaves your phone. No bouncebacks, no awkward emails at 6pm, no rebilling. The participant sees the invoice before the plan manager does. Lines resolve to the NDIS Pricing Arrangements and Price Limits. The official NDIA document setting the maximum hourly rate for every support type, by day, region, and intensity. Built here, for here

Built for the Australian NDIS.

Shaped around the NDIS as it actually works. Not a generic invoicing tool with a country dropdown.

We speak NDIS.

Price guide, plan periods, plan managers, nominees. Every term in the product is one you already use with your participants.

We know your state.

First Aid, Worker Screening, WWCC, Blue Card, Ochre Card. The expiry clocks that actually apply to your caseload, mapped to your state.

We know your plan manager. And your support coordinator.

Invoices formatted the way plan managers want them, blocked before they ever go above cap. Support coordinators get a read-only view of schedule and goal progress, if and when your participant invites them in.

We know the participant matters.

Their side of the record is an account, not a portal login. They see what you did, when you did it, and approve what gets claimed against their plan.

A tool for each pairing of worker and participant. One worker can hold many participants. One participant can invite many workers. Each pairing is its own shared record. Not a marketplace, not a claim submitter to the NDIA, not a middleman to anyone's money.

Before you sign up

Common questions people ask first.

Five things solo support workers ask in the first conversation. Two-sentence answers. No marketing language.

What does my participant actually have to do?
They get a text or email with a magic link. They tap it once, and they’re in. No app store, no password, no portal training.
Will I have to migrate all my old records in?
No. Start fresh from the day you sign up. We’ll keep an export tool for whatever you’ve got in spreadsheets, but ThimbleCare doesn’t need it to work.
What happens to my records if I cancel?
You export everything to PDF and CSV in one click. They’re your records, not ours. We delete our copies on a published schedule.
Can I use ThimbleCare alongside Hnry, Xero, or my accountant?
Yes. ThimbleCare gives your tax agent a clean CSV. You (or they) lodge it. We don’t compete with them.
When does the $39/month price actually start?
The day your practice goes live on ThimbleCare, not the day you join the waitlist. Locked at $39 for as long as your subscription stays active.
Why this exists

My little sister is severely disabled. So is my best friend's little brother. Care is a life-long necessity, and naturally we want the best for our family…right now, there's a gap in how that care is managed. ThimbleCare is what we wish they'd had ten years ago. One record, shared, in plain English, affordable enough that it's not a decision. Built for everyone involved, not just the one who pays for it.

Three honest answers

Three things people usually ask first.

“$39/mo on top of what I already pay.”

Most workers replace at least three tools (scheduling, e-signing, invoicing). Net cost is usually lower.

“My participant won’t use a portal.”

They don’t have to. One text message with a link and they’re signing. No download, no setup.

“What if I sign up and then change practices?”

Cancel any time. Your records export to PDF and CSV in one click. They’re yours, not ours.
